HubSpot CRM Integration

Connect HubSpot CRM to HeyDrop Teams to sync HeyDrop contacts directly into HubSpot.

This document walks you through how to connect, manage, and disconnect the HubSpot integration inside HeyDrop Teams.

Once connected, your team can use HeyDrop to send contacts into HubSpot from the Teams dashboard. The integration is designed around the HubSpot Contacts object, following the same general sync pattern shown in the Popl reference docs.

What this integration does

The HubSpot integration allows your team to:

  • sync HeyDrop contacts to HubSpot

  • automatically push new contacts

  • sync contact notes

  • assign contacts to owners

  • add HeyDrop tags


Accessing the integration

  1. Open HeyDrop Teams.

  2. In the left sidebar, click Integrations.

  3. On the Integrations page, locate the HubSpot CRM card.

From here, the card will show one of two statuses:

  • Not connected

  • Connected

If the integration is not yet connected, the action button will be Manage on the card list view, and on the dedicated integration page you will see a Connect button.


Connecting HubSpot

Step 1: Open the HubSpot integration

From the Integrations page, click the HubSpot CRM card or click Manage.

Step 2: Start connection

Click Connect.

At this point, HeyDrop should redirect you to HubSpot’s authorization flow, where you log in and approve access for the app. This is the same general OAuth flow shown in the Popl reference setup documentation, although the exact HeyDrop authorization modal is not included in your screenshots.

Step 3: Return to HeyDrop

After successful authorization, you should be returned to the HubSpot integration screen in HeyDrop.

Once connected, the status badge changes to Connected.


Connected state

When the integration is connected, the dedicated HubSpot page shows the following sections.

1. Authorization

The Authorization card displays:

  • Integration User

  • Connection Date

  • Authorization Date

2. Activate HubSpot Integration

A toggle labeled Activate HubSpot Integration controls whether the connection is actively being used.

  • ON: HubSpot sync is active

  • OFF: the integration remains connected, but syncing is disabled

4. Delete Integration

A red outlined button labeled Delete Integration removes the current HubSpot connection from HeyDrop.


Managing the integration from the main list

After HubSpot is connected:

  • the status badge on the main Integrations card changes to Connected

  • the HubSpot card remains accessible from the Integrations page

  • the primary card action remains Manage


Contact sync logic

When HeyDrop syncs a contact to HubSpot, the integration checks whether a contact with the same email already exists in HubSpot. If no match is found, a new contact is created. If a match is found, the existing contact is updated.


How to disconnect HubSpot

Disconnect from HeyDrop

  1. Go to Integrations

  2. Open HubSpot CRM

  3. Click Delete Integration

After deletion:

  • HeyDrop will no longer sync contacts to HubSpot

  • existing contacts in HubSpot should remain unchanged

  • existing contacts in HeyDrop should remain unchanged

What happens when the integration is deleted

Deleting the integration should affect future syncing only.

It should not:

  • delete existing contacts from HubSpot

  • remove contact records from HeyDrop

  • modify historical synced data already in HubSpot

Disconnect from HubSpot

You can also remove the HeyDrop integration directly from your HubSpot account.

1. Log in to your HubSpot account.

2. Click the Settings icon in the top navigation bar.

3. In the left sidebar, go to Integrations > Connected Apps.

4. Find the HeyDrop app in your connected apps list.

5. Click Actions next to the app.

6. Click Uninstall.

7. In the confirmation dialog, type uninstall.

8. Click Uninstall again to confirm.

What happens after uninstalling from HubSpot

Removing the app from HubSpot stops future syncing between HeyDrop and HubSpot. Existing contacts already stored in HubSpot remain unchanged, and your existing data in HeyDrop is not deleted.


Troubleshooting

HubSpot shows as not connected

Try reconnecting the integration from the HubSpot CRM page and complete the authorization flow again.

Sync is not happening

Check:

  • Activate HubSpot Integration is turned on

  • the correct HubSpot account was authorized

  • When to sync contacts is configured as expected

Wrong HubSpot account connected

Delete the integration and reconnect it using the correct HubSpot user/account.
