How to connect, configure, and manage the HubSpot CRM integration in HeyDrop Teams.

HubSpot CRM Integration

Connect HubSpot CRM to HeyDrop Teams to automatically sync contacts captured by your team directly into HubSpot.


What this integration does

When the HubSpot integration is active, contacts captured by your team in HeyDrop — via the exchange form on their card or the AI Scanner — are automatically synced to your HubSpot account as CRM contacts.

You control whether to sync new contacts only, or also update existing ones.


Accessing the integration

  1. Open HeyDrop Teams at app.heydrop.me

  2. In the left sidebar, click Integrations

  3. Click the HubSpot card or the Manage button


Connecting HubSpot

Step 1: Click Connect

On the HubSpot integration page, click the Connect button. A HubSpot authorization window will open.

Step 2: Select your HubSpot account

Choose the HubSpot account you want to connect to HeyDrop and click Choose Account.

Step 3: Authorize the app

HubSpot will show the permissions HeyDrop is requesting:

  • View and manage CRM contacts — to create and update contact records

  • Basic account information — to identify the connected account

Check the acknowledgment checkbox and click Connect app to authorize.

Step 4: Connection confirmed

You'll be redirected back to HeyDrop Teams with a confirmation: "Connected to HubSpot successfully." The integration status changes to Active.

Once connected, the HubSpot integration page shows:

  • Status badge: Active

  • HubSpot account id — confirms which HubSpot account is connected

  • Activate HubSpot integration toggle — turn syncing on or off without disconnecting

  • When to sync contacts — controls sync behavior (see below)

  • Delete Integration button — removes the connection

When to sync contacts

The When to sync contacts dropdown controls how HeyDrop handles contacts that already exist in HubSpot:

  • New contacts only — only creates new contacts in HubSpot; does not update existing records

Activate / deactivate

Use the Activate HubSpot integration toggle to pause syncing without deleting the connection. Toggle OFF to stop syncing; ON to resume.


Disconnecting HubSpot

From HeyDrop

  1. Go to Integrations → HubSpot

  2. Click Delete Integration

  3. Confirm the deletion

Deleting the integration stops future syncing. Existing contacts in HubSpot are not affected — they remain unchanged.

From HubSpot

You can also remove the connection from your HubSpot account:

  1. Log in to HubSpot

  2. Go to Settings → Integrations → Connected Apps

  3. Find HeyDrop and click Actions → Uninstall


Troubleshooting

  • Integration shows "Not connected" — click Connect and complete the authorization flow again

  • Contacts not syncing — check that the Activate toggle is ON and the correct HubSpot account is connected

  • Wrong HubSpot account connected — click Delete Integration and reconnect with the correct account
